1. Who we are

This website, mintema.com, and the Mintema platform are operated by PINGSYS for Computer Systems and Communication Equipment Software Design Co. L.L.C. (“PINGSYS”, “Mintema”, “we”, “us”), Office 1101, The Offices at Ibn Battuta Gate, Jebel Ali First, Dubai, United Arab Emirates (pingsys.com). We are responsible for the personal data collected through the website as described in this policy.

This policy covers the website only. Personal data processed inside the Mintema platform on behalf of our customers is governed by the agreement and data processing terms signed with each customer.

2. What we collect

Information you give us

When you book a demo, contact us or request material, we collect the details you enter in the form:

  • your name, work e-mail address, organisation and, if you provide them, your phone number and country;
  • information about your interest, such as your sector, the number of assets in scope, the capabilities you want to see and your message.

Information collected automatically

  • Technical data sent with every form: your IP address, browser type and the page from which you sent it. We use it to protect the forms against abuse and to answer you properly.
  • Campaign data: if you arrive from an advertisement or a tagged link, the campaign parameters in the address (such as utm_source, utm_campaign and the Google click identifier gclid), the page you landed on and the referring website. These are kept in your browser for up to 30 days and sent with your form, so we know which campaign brought you to us.
  • Usage data: when analytics is enabled, aggregated information about the pages you visit and how you use them, collected through Google Analytics.

We do not ask for, and ask you not to send us, special categories of personal data such as health, religious or biometric data.

3. How we use it

  • to reply to your request, arrange and run your demo and send you the material you asked for;
  • to follow up on your evaluation of Mintema and prepare a proposal when you ask for one;
  • to understand which pages and campaigns are useful, and to measure the results of our advertising;
  • to keep the website and its forms secure, including spam and fraud prevention;
  • to meet our legal obligations.

We do not sell your personal data, and we do not use it for automated decisions that have legal or similarly significant effects on you.

4. Legal bases

Where data protection law requires a legal basis, we rely on: the steps you ask us to take before a possible contract (answering your request and running a demo); our legitimate interests in operating, securing and improving the website and in measuring our marketing, balanced against your rights; your consent, where the law requires it for cookies or marketing messages; and compliance with legal obligations.

5. Cookies and similar technologies

  • Essential storage. The website stores small items in your browser (local storage and session storage) to remember the campaign data described above, to show the thank-you page correctly and to keep the sample data used in interactive product examples. None of this is shared with third parties by the website itself.
  • Security check. When it is switched on, the forms use Google reCAPTCHA to tell people from automated programs. reCAPTCHA collects hardware and software information and sends it to Google, under Google’s privacy policy and terms of service.
  • Analytics and advertising. When enabled, Google Analytics and Google Ads conversion tracking set cookies to measure visits and to record that a form was sent after an advertisement was clicked. You can block these cookies in your browser settings, install the Google Analytics opt-out add-on or adjust your Google ad settings.
  • Fonts. Pages load fonts from Google Fonts, which receives your IP address to deliver them.

6. Who we share it with

We share personal data only with service providers that help us run the website and answer you, under contracts that limit their use of the data to that purpose:

  • our website hosting provider;
  • our e-mail delivery provider, which carries form messages to our team;
  • Google, for reCAPTCHA, Analytics, Ads measurement and fonts, as described above;
  • our authorised implementation partners, only when you ask to be put in touch with one in your region.

We may also disclose data when the law requires it, to protect our rights, or as part of a merger or acquisition, in which case this policy continues to apply.

7. International transfers

Our service providers may process data in countries other than your own. Where the law requires it, we rely on appropriate safeguards for these transfers, such as standard contractual clauses.

8. How long we keep it

We keep enquiries and demo requests for as long as needed to handle your request and any evaluation that follows, and for no longer than 24 months after our last contact with you, unless we enter into a contract or the law requires us to keep them longer. Technical security records are kept for a short period, normally no more than 90 days.

9. Security

The website is served over an encrypted connection (HTTPS). Forms are protected by rate limits, a security check and same-site request checks, and form messages are sent over encrypted connections. Access to enquiries is limited to the people who need it to answer you.

10. Your rights

Depending on the law that applies to you, you may have the right to access your personal data, correct it, delete it, restrict or object to its use, receive a copy in a portable format and withdraw consent at any time. To use any of these rights, write to privacy@mintema.com. We answer within the time required by law, and we may ask you to confirm your identity first. You can also complain to the data protection authority in your country.

11. Changes to this policy

We update this policy when our website or the law changes. The date at the top shows the latest version. Material changes are highlighted on this page.
